Guide to creating and managing Cadences

Create your first cadence, by following the steps outlined below:

Cadence Settings

Add settings 1 and 2 as below:

1.General Settings

  • Cadence Name: Add the name of your cadence.
  • Cadence Goal: Add the goal of your cadence, like "onboard clients" or "win new sales" etc.
  • Cadence Owner: Pick a dashbaord user to own this cadence
  • Cadence type: Choose from Private or Team, depending on who you want to see the cadence, private=only you and team=whole team.

2.Step Settings

  • If a User has opted out of calls: This allows you to choose what happens to a user that has opted out of calls
  • If a user does not have a phone number: this allows you to choose what happens to a user that has no phone number
  • Delivery Schedule: Customise when your emails are sent, Mon-Fri only or weekends as well.
  • Email Timezone send: Choose which timezone you want to send emails from cadences 
  • If an activity gets marked as a success: Choose what you want to happen if you have a successful cadence outcome. If you want to add them to another cadence, tick the box and choose the cadence

3.End of Cadence Settings: Choose what happens if a deal reaches the end of your cadence. Choose the number of days, hours or minutes after and then choose what you want to happen to the deal.

4.Cadences Throttling: This is an optional step, where you can throttle the amount of deals put on a cadence and the amount sent every day.

5.Automatic Step Reassignment: This is another optional step you can set up that will automatically reassign the new deal owner of the cadence to the remainder of the cadence activities.

6.Cadence contributes to success targets: Switch this on if you want cadence successes to be counted against targets set (in the set-up area).

Select save and continue at the bottom right, you can edit your cadence at anytime, before it is published.

Build a cadence

Build your cadence, fully customised to the steps you want in your sales process. See below:

Select Add Cadence Step as above. You will see the window below:

Email: Choose Email, then which type of email to add to your cadence and insert the day you want that activity to take place on.

LinkedIn: If you choose Linked In as a step in your cadence, you have the choice below. Then insert which day of the cadence you want the activity to take place on.

Phone: Choose a Phone activity and then you have the option of with or without voicemail. Then choose the day you want the activity to occur in the cadence and choose next to confirm.

Other activity: Select this option to add another activity, like research, deal setup, or end cadence. When you select "other", your customised activities will pop up here. Then choose the day you want the activity to take place in the cadence sequence and click next to add.

When you have selected what you want in the cadence, click next and add the details of your activity in the window or add a template that you have set up already in the Cadence>Settings tab. Then click Add Step to confirm the cadence step.

Continue building your cadence out until you are happy with it. it will start to look like the example in the window below:

If you are still working on setting up your cadence, then save as a draft and find again the cadence planner to edit it. Finally, publish it once you are happy with the cadence.

Published Cadences

Monitor your published cadence results from the Published window and see the number of days and steps in the cadence, the number of leads added, active, finished, ejected and successes from the cadence.

Cadence Results

Once you have published your cadence and added leads to it, you will start to see results, to access them, click Published>view results on the cadence you want to view results on. The window below will then appear with 3 tabs, Results, View People and Opens/Clicks.

Results: This tab shows you the step numbers and details of that step, along with the number of times that cadence has been sent, opened, clicked and been successful.

View People: View the people that have received your cadence, the date they were added to the cadence, their status on the cadence, the owner, the step they are on, the total steps finished and remaining. Click the 3 dots to view the persons contact record or eject them from the cadence.

Opens/clicks: View the details of who has opened and clicked email cadences. Including date, contact name, details of cadence activity and contact phone number. You can perform further actions to that person's contact by clicking the 3 dots at the side of the row, you can move that contact onto a workflow, a pieplien, a list, or send to Salesforce or Hubspot.

Adding leads to a cadence

You’ve done the hard work by building out an engaging sales outreach cadence but how do you add prospects to the sequence? First of all there are two methods of adding to a cadence, either manually or by using automated workflows.

You can add contacts manually to a cadence from the following areas:

The contact record - Add to cadence is available from the manage tab. 

Intent>Prospects tab - See all your revealed prospects in one place and add them to a cadence, either one at a time or as a batch.

The lists area - Add an entire list to a cadence.

You can add contacts automatically to a cadence from the workflow area.

Using workflow triggers such as, prospects revealed or list trigger you automatically add prospects to a cadence. As this process is designed to handle high volume you will also be able to add round robin owner allocation, meaning you will save lots of time not having to manually allocate leads to your sales team.
